Senior Sales Coordinator

Key Responsibilities

The Senior sales coordinator position is essentially an extending arm of sales who connects both customers and internal and external stake holders and operators.

Main responsibility is to ensure every booking is handled with utmost care, efficiency and with a sense of urgency in timely manner. Also to ensure that emails are answered on a timely basis and pro-actively contact customers and follow-up for business and ensure to plug the gap essentially when sales and customers unable to reach each other. Coordination with the internal operators such as Operation, Pricing, Accounts department etc is vital as well as with external vendors such as transporters, carriers and other service providers. Also this role having responsibility to prepare and quote to the customers for all product type under the guidance of respective sales desk. 

·        CSS Product Portfolio to be offered to Customers

·        Ocean Freighting - Export, Import and X-Trade Sales (both FCL & LCL)

·        Air Freighting – Export, Import and X-Trade Sales

·        Warehousing & Distribution

·        Customs Clearance & Transportation - Both Export and Import for Ocean and Air shipments.

·        Break Bulk / ODC shipments


·        Sales Coordinator related Job activities

·        Act as a pivotal and connecting role between Sales, Customers, Internal operators & External vendors.

·        Monitor Quote vis-a-vis Booking and pro-actively seek for cargo by way of customer follow-up.  

·        Coordination and rate filing thru Pricing desk.

·        Overseas communication with Agents as and when required.

  • Inquiry handling, putting all the initial details in the systems.
  • Developed and sustained relationships with potential and existing clients by coordinating and providing effective administrative support.
  • Handling CSS Next (Operating System) - Update all relevant details of Customer and Shipment.
  • Preparing (costing) and submit quote.
  • Actively supported company sales team – Coordinated sales details, pre-sale material and after-sale deliveries.
  • Participated in execution of sales strategies, internal meetings etc as and when requested.
  • Responsible for timely, accurate quotation and invoices to customers, processing inquires through email, phone etc.
  • Complete each and every procedure of Insurance before and after delivery (if required).
  • To keep the customers informed of the status of shipment by written communication.
  • Follow and arrange to collect receivables from customers under the guidance of respective sales.
  • Ensure external vendors’ invoices are maintained, processed and submitted to Accounts on time and also ensure that the payment is disbursed to the vendors as per credit terms without any delay in coordination with internal accounts.
  • Maintain records of the Job correspondence in the file.

We are looking for

  • Candidates must have minimum 04 years’ experience in Similar role in Freight forwarding industry.
  • The ideal candidate is a team player and possesses strong communication skills.
  • Should be currently located in UAE and be able to join immediately.
